Hall Rental Contract
ANTLER HILL COMMUNITY HALL RENTAL CONTRACT
Antler Hill Community Association (the “ASSOCIATION”)
- The Association agrees to make available the Antler Hill Community Hall and the grounds (the “HALL”) located at 27471 TWP Road 362 Red Deer County, AB (emergency response location)
from booked arrival time
until booked end time
(the “Rental Period”)for the exclusive use of the Renter for the purpose of the function noted in the booking form (the “Function”).
- The Renter estimates the number of people attending the Function to be correct.
- The Renter acknowledges receipt of the attached Schedule 1 setting out the Rules of the Hall, and agrees to abide by the rules.
Incorporation of Schedules
- The following Schedules are incorporated into this Agreement:

Hall Rental Payment Terms
- Payments may be made by cheque or Interac e-Transfer to [email protected]. Cheques shall be made payable to the “Antler Hill Community Association”.
- The Renter agrees to pay on booking the event, a deposit of TWO HUNDRED FIFTY ($250.00) DOLLARS. These funds of TWO HUNDRED FIFTY ($250.00) DOLLARS plus an additional TWO HUNDRED FIFTY ($250.00) DOLLARS constitutes the full FIVE HUNDRED ($500.00) DOLLARS booking and damage deposit.
- The Renter agrees to pay Hall Rental Fee as outlined as outlined on the booking form.
Cancellation
- In the event the Renter cancels the function, the booking fee of TWO HUNDRED FIFTY ($250.00) DOLLARS shall be forfeited.
Damage Deposit
- The Damage Deposit shall be returned to the Renter within THIRTY (30) DAYS following the end of the Function upon satisfactory return of the property in the same condition as prior to the Function, and return of the key to the lockbox.
a. The Hall Manager shall inspect the Hall within FORTY-EIGHT (48) hours prior to the Function and shall inspect the Hall within FORTY-EIGHT (48) hours after the Function.
b. The Renter agrees to clean-up the Hall as set out in Schedule 2 and acknowledges and agrees that in the event the Hall is not cleaned up the Association shall charge the Renter the sum of $30.00 (THIRTY) per hour for clean-up, and such funds shall be withheld from the damage deposit. Clean-up expenses further and beyond the damage deposit shall be invoiced to the Renter and shall be due and payable upon receipt with a 2% compounded monthly (26.82% per annum) for unpaid expenses.
c. The Renter shall be responsible for the costs of repair to damaged property caused by the Renter and its attendees at the Function during the Rental Period. The Association reserves the right to withhold all or a portion of the deposit for repair of damage. In the event damages exceed the balance of the deposit, the Renter shall be invoiced the cost of repairs and the expense shall be due and payable upon receipt with a 2% compounded monthly (26.82% per annum) for unpaid expenses.
d. The Renter shall return the key to the lockbox following the Function. The charge for failure to return the key shall be deemed to be THREE HUNDRED ($300.00) DOLLARS for replacement of locks. Immediate contact with Hall Rental Manager is required if key is not returned as outlined.
Renter Responsibilities
- Renter will obtain and deliver to the Hall a commercial general liability insurance coverage policy to protect against liability for damage claims that may arise through public use or accidents occurring in or around the Hall during the term of this rental agreement. The insurance policy will provide a minimum coverage in the amount of $2,000,000 (TWO MILLION). This policy will also provide coverage for contingent liability of the Hall on any claims or losses. A Certificate Of Insurance (COI) naming Antler Hill Community Association (27471 Township Rd 362, Red Deer County, AB, NW 08-36-27 W4) as the additional insured, must be provided before access to the facility/grounds will be permitted.
- Homemade wine, beer or cider is not allowed in the Hall or grounds. The Renter agrees to comply with Alberta Gaming and Liquor Commission regulations regarding the purchase of a liquor license. The permit must be brought to the hall at the time of set-up/decorating to verify bar times. This must be visibly posted along with the bill of sale for liquor purchased.
- The Renter is responsible for ensuring that no guest leaves the Hall or grounds in a motorized vehicle while intoxicated.
- The Renter agrees to be responsible for set up and removal of tables, chairs and equipment.
- The Renter agrees to clean-up the hall and grounds as outlined on the clean-up list posted in the Hall. The intent is to leave the facility and grounds in good order.
Indemnification
- The Hall will not be liable for liability or damage claims for injury to persons or property from any cause relating to the occupancy of the Hall by the Renter, including those arising out of damages or losses occurring on sidewalks and other areas adjacent to the Hall during the term of this rental agreement or any extension of such term.
- The Renter expressly covenants and agrees that during its use of the Hall premises and equipment, including liability claims resulting from the consumption or serving of alcohol, that it will indemnify and save harmless the Antler Hill Community Association from and against any liability claims resulting from injury or damage to any person, persons or property, including the costs of defending such claims including solicitor-client costs.
In signing this agreement, the Renter agrees to comply with the terms and conditions set out herein.
*Note: if Renter is a corporation, the signatory represents that the signatory has the authority to bind the corporation. Hall Authorization Approval is granted via email confirmation.

ANTLER HILL COMMUNITY HALL RULES
Liquor in Hall
HOMEMADE WINE, BEER and CIDER ARE NOT ALLOWED as per the Alberta Gaming and Liquor Commission. You are required to have a liquor license if providing or selling liquor. Learn more at AGLC
Kitchen
Our kitchen is supplied with hot and cold running water, stove, fridge, microwave, small deep freeze, two coffee urns (45 cup and 40 cup), two waffle makers, a toaster, and more. We have a limited amount of miscellaneous bowls, serving trays, ladles, pots, pans and cutlery. See website for more details. Garbage cans are supplied. Renters are required to take all garbage with them.
Trailers and RV’S
The parking of trailers and RVs is at the discretion of your group. EXIT doors of the hall must not be blocked. There is no power available and no sewage disposal available.
Fire Regulations
This facility has been inspected with the following capacity limits:

Barbeque Use
Renters are responsible to supply their own. Please leave barbeques on ground level away from the walls of the hall and deck. Only barbeques which are equipped with a suitable grease container may be placed on deck if weather is inclement. Please utilize the designated area on the deck.
Fire Pit
All bonfires must be contained within the designated fire ring supplied. Renters must comply with Red Deer County fire bans. Only when fire bans are removed, can an open pit fire be lit, and then only after a Fire Permit has been obtained. The permit is available free of charge and must be obtained by the first day of the rental. Apply for your permit online here. Firewood is not supplied; you are responsible for your own. Please do not bring pallets or wood with nails.
Decorations
Please use the hooks already in place. No additional nails to be used. If using candles, contain them within an approved holder.
SCHEDULE 2
CLEAN-UP & CLOSURE OF ANTLER HILL HALL
INDOORS:
- If used during your stay, press RUN on the thermostat
- Sweep main hall, kitchen and bathroom floors (supplies on stairwell landing)
- Mop main hall, kitchen and bathroom floors (cleaning solution with instructions provided under kitchen sink
- Sweep and tidy basement (if used)
- Vacuum carpets by doorways
- Wipe down kitchen counters, fridge, stove, microwave and deep freeze
- Clean bathroom sink, toilet and urinal (supplies provided in cabinet)
- Clean outdoor toilet (if used)
- Hang used dishcloths/dishtowels on the side of the hamper by the cleaning supplies.
- Ensure all water taps are completely turned off
- Close all windows
- Lock all three (3) doors from the outside and check to ensure all are locked (Panic hardware allows exit when locked)
- Return key to lockbox
OUTDOORS:
- Pick up all garbage and cans around playground, yard, and fire pit
- Check fire pit and ensure fire is out
- Return horseshoes, basketball, sand toys, balls and games all to their respective bins
- Take all garbage with from inside and outdoor receptacles when leaving
- Return picnic tables to deck
- Remove all signage from roadways related to the function
- Close gates of the community centre.
